ADEA CAS Policies and Applicant Release Statements
This section provides an overview of the policies and statements related to the ADEA Centralized Application Services (ADEA CAS) (ADEA AADSAS, ADEA CAAPID, ADEA DHCAS and ADEA PASS).
The policies of the American Dental Education Association (ADEA) that govern the ADEA CASs (ADEA AADSAS® (ADEA Associated American Dental Schools Application Service), ADEA DHCAS® (ADEA Dental Hygiene Centralized Application Service, ADEA CAAPID® (ADEA Centralized Application for Advanced Placement for International Dentists and ADEA PASS® (ADEA Postdoctoral Application Support Service) advisory groups are recommended by the advisory group, an official committee of the association. ADEA CAS makes every effort to process and transmit application materials to dental schools/programs designated by the applicant.
This section outlines the applicant agreement in all four CASs. In each application, “ADEA CAS” will be replaced with the specific acronym; for example, “ADEA PASS.”
This ADEA CAS Applicant Agreement is an agreement between (i) American Dental Education Association (ADEA) and (ii) you as an applicant and the CAS. This agreement sets forth expected applicant conduct and outlines certain policies and procedures in the application and admissions process for institutions that participate in the CAS. The application and admissions process includes the application, supporting documents, interviews and communication with the ADEA CAS and institutions representatives. Applicants agree to be responsible for their actions and their participation in the application and admissions process and to ensure schools program receive valid, accurate and complete application materials. Review this agreement carefully. As an applicant, it is your responsibility to read and understand the terms of this agreement.
ADEA CAS is operated in the United States. By using the ADEA CAS, you consent to the storage and access of your information in the United States.
The following statements below are referred to as the ADEA CAS Conduct Guidelines in the application. Please read each statement carefully.
- You will behave in a manner consistent with the professional, ethical and legal standards of the dental professions as outlined in the ADA Principles of Ethics and Code of Conduct, including in your interactions with ADEA CASs staff and with school staff and faculty.
- You have read and understood the application instructions and school-specific application and admissions requirements. You acknowledge that you are responsible for monitoring the status of your application and ensuring supporting documents are submitted by posted deadlines.
- You agree to provide only accurate and complete information and materials to ADEA CAS. You acknowledge that (i) misrepresenting information; (ii) omitting information in such a way as to make a statement false, erroneous or misleading; or (iii) providing false, erroneous or misleading information in the application and admissions process may jeopardize your application or result in other actions by a school. Reports of incomplete, misleading, missing or false information may result in the reported information being posted to your application(s).
- You agree to only create an ADEA CAS account for yourself and to secure your ADEA CAS password for the security of your account. You are solely responsible for any use of your account.
- You acknowledge that all written passages you provide to ADEA CAS as part of the application and admissions process, including your personal statement and your descriptions of experiences, are your own and are not written, in part or in whole, by a third party.
- You acknowledge that it is your responsibility to inform the dental schools/programs of any changes in your information after submitting your application. This includes, but is not limited to, legal infractions, conduct violations and contact information.
ADEA AADSAS Policies
- Transcripts: You acknowledge official transcripts are required by ADEA AADSAS for all college-level institutions that you have previously attended. You understand that (i) failure to provide these required documents may result in your application being incomplete and (ii) foreign or international transcripts must first be evaluated by World Education Services (WES) or Education Credential Evaluators (ECE) and the official evaluation must be provided to ADEA AADSAS.
- Academic Update: You acknowledge that, if you participate in the Academic Update (AU) in ADEA AADSAS, you are responsible for completing AU during the scheduled and posted periods. This includes, but is not limited to, providing new coursework, updating your transcript and resubmitting your application. AU is optional.
- Disclosure of Status: Beginning March 1 of each year, if you hold offers at more than one school, your status will be disclosed to all other schools that you designated to receive your application materials and may result in offers being changed or revoked, as outlined in the ADEA AADSAS® Guidelines for Dental Schools When Extending Offers of Admission.
- Release of Information to Health Professions Advisors: ADEA AADSAS enables you to decide whether information regarding your application and admission status is disclosed to the health professions advisor and the health professions advisory committee of the post-secondary institution(s) that you have attended.
- Selecting “Yes,” you authorize ADEA AADSAS to release selected information regarding your application admissions status to the health professions and health professions committee of the post-secondary institution(s) that you have attended. By releasing your information, an advisor may be better able to assist you in the application and admissions process, as well as better guide other students in the future.
- Selecting “No,” ADEA AADSAS will not release your application information and admissions status to such health professions advisors.
ADEA CAAPID Policies
- Transcripts: You acknowledge official transcripts are required by ADEA CAAPID for all college-level institutions that you have previously attended. You understand that (i) failure to provide these required documents may result in your application being incomplete and (ii) foreign or international transcripts must first be evaluated by World Education Services (WES) or Education Credential Evaluators (ECE) and the official evaluation must be provided to ADEA CAAPID. By submitting your ADEA CAAPID application, you are indicating that you have requested official international transcript evaluations be sent directly to ADEA CAAPID.
- Notice of Matriculation Status: If you matriculate or enroll in a program, the program may mark your status as matriculated. This status is not public and will be shared only with other programs you have applied to. Your name will be shared, not the program you matriculated to.
- Disclosure of Multiple Offers: If you accept an offer for more than one program, ADEA CAAPID may add your name (but not the name(s) of the program(s) where you hold offers) to a “Multiple Offers Accepted” report that will be shared with all programs that you designated to receive your application materials. and may result in offers being changed or revoked.
ADEA DHCAS Policies
- Transcripts: You acknowledge official transcripts are required by ADEA DHCAS for all college-level institutions that you have previously attended. You understand that (i) failure to provide these required documents may result in your application being incomplete and (ii) foreign or international transcripts must first be evaluated by World Education Services (WES) or Education Credential Evaluators (ECE) and the official evaluation must be provided to ADEA DHCAS.
- Academic Update: You acknowledge that, if you participate in the Academic Update (AU) in ADEA DHCAS, you are responsible for completing AU during the scheduled and posted periods. This includes, but is not limited to, providing new coursework, updating your transcript and resubmitting your application. AU is optional.
ADEA PASS Policies
Transcripts: You acknowledge official dental school transcripts are required by ADEA PASS. You understand that (i) failure to provide these required documents may result in your application being incomplete and (ii) foreign or international transcripts must first be evaluated by World Education Services (WES) or Education Credential Evaluators (ECE) and the official evaluation must be provided to ADEA PASS.
By selecting the box, you confirm that you give permission to ADEA to release your application materials to the schools/programs that you designate. Each school/program may use your application information for admission purposes and otherwise in accordance with such school’s/programs policies. For information regarding a school’s/program’s policies, see the school’s/program’s website or contact the school/program directly. To the fullest extent permitted by applicable by law, ADEA excludes all liability arising from the use of your information by any school/program.
Selecting “No”, the CAS will not release your name and contact information to your designated programs until your application is submitted.
ADEA CAS enables you to decide whether programs are able to receive your name and contact information through ADEA CAS before you submit your application.
By checking 'Yes', you authorize ADEA CAS to release your name and contact information to your designated programs BEFORE you submit your application. This will allow your designated programs to send you important information about their admissions process before you complete your application.
By checking 'No', ADEA CAS will not release your name and contact information to your designated programs UNTIL your application is submitted.
No Agent Relationship. The role of ADEA CAS in the collection and transmission of information and materials does not mean that ADEA is your agent or an agent of any school/program. ADEA has no authority to alter or waive any requirement of any school. Any disputes you have with a school must be resolved directly with that school.
Direct Contact Only. If you need information regarding your application or your use of ADEA CAS, you should contact ADEA Customer Service directly (i.e., your parents and/or spouse should not contact ADEA regarding your application or use of ADEA CAS.).
No Return of Application Materials. Application materials submitted to ADEA CAS will not be released or returned to you, including confidential letters and confidential statements of recommendation submitted on your behalf regardless of your response to the FERPA waiver.
Right to Investigate. ADEA and the schools that you designate to receive your application materials may investigate application information.
Refunds. In the event of any errors or omissions related to the handling or processing of your application by ADEA CAS, your sole and exclusive remedy is to request a refund from ADEA in accordance with the ADEA CAS Refund Policy. A refund is not guaranteed and refund requests are reviewed at ADEA’s discretion. Errors or omissions that are your responsibility are not subject to refund in a current or future application cycle. Communications from ADEA. ADEA’s primary methods of communication to applicants regarding ADEA CAS matters are via email and text. You are responsible for providing ADEA with up-to-date and accurate contact information.
Use and Disclosure of Application Information. ADEA may use and disclose your application information in accordance with the ADEA Privacy Policy. You acknowledge that your application information may be (i) used for research, applicant tracking and reporting purposes by ADEA and (ii) shared with third parties, including tuition assistance services, that are involved in the application and admissions process. In addition, if you opt-in to participate in research being conducted by third parties that is related to the application and admissions process, ADEA may share your application information with such third parties.
Program Materials. Information and other content requested from you in the Program Materials section of ADEA CAS is determined by each school/program. ADEA is not responsible for, and assumes no liability for, such requests, including whether such requests comply with applicable state or federal laws.
No Warranties. ADEA CAS IS PROVIDED "AS IS." ADEA MAKES NO WARRANTIES REGARDING ADEA CAS AND DISCLAIMS ANY AND ALL EXPRESS OR IMPLIED WARRANTIES OF ANY KIND, INCLUDING BUT NOT LIMITED TO ANY WARRANTIES OF MERCHANTABILITY, NON-INFRINGEMENT OF INTELLECTUAL PROPERTY, FITNESS FOR A PARTICULAR PURPOSE, OR WARRANTIES ARISING BY COURSE OF DEALING OR CUSTOM OR TRADE.
Limitation of Liability. IN NO EVENT SHALL ADEA BE LIABLE FOR ANY INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, EXEMPLARY, OR PUNITIVE DAMAGES, ARISING OUT OF OR RELATING TO YOUR USE OF ADEA CAS. THE LIABILITY OF ADEA FOR BREACH OF THIS AGREEMENT OR OTHERWISE ARISING OUT OF OR RELATING TO YOUR USE OF ADEA CAS SHALL NOT EXCEED TWO THOUSAND DOLLARS ($2,000). THIS LIMITATION OF LIABILITY SHALL APPLY TO THE FULLEST EXTENT PERMITTED BY LAW.
Miscellaneous. The laws of Washington, DC (USA) shall govern this agreement, without reference to its choice of law rules. You agree that any suit, action, or proceeding arising out of or relating to this agreement shall be instituted only in a court sitting in Washington, DC (USA). You hereby waive any objection to, and irrevocably submit to the jurisdiction of, any such court. If any provision of this agreement is deemed unlawful, void, or for any reason unenforceable, then that provision shall be deemed severable and shall not affect the validity and enforceability of any remaining provisions. ADEA's failure to enforce the strict performance of any provision of this agreement will not constitute a waiver of ADEA's right to subsequently enforce such provision or any other provisions of this agreement.
